How CoachBen uses and protects personal information.

Information I collect
I collect information you choose to provide when you join Between Sessions, book a discovery call, send an enquiry or begin coaching. Depending on the interaction, this may include your name, email address, time zone, goals, messages, appointment details and coaching information.
Please do not send detailed health, injury, payment or account information through the public email address or newsletter form. Existing athletes should use the agreed coaching route.
How and why I use it
- To send Between Sessions and manage newsletter preferences, using your consent.
- To arrange and prepare for discovery calls and respond to enquiries, taking steps at your request before a possible coaching agreement and pursuing the legitimate interest of answering genuine enquiries.
- To provide coaching, administer the coaching relationship and meet payment, tax, accounting or other legal obligations where applicable.
- To keep the website and services secure, prevent misuse and establish or defend legal claims where necessary.
Booking a call or sending an enquiry does not subscribe you to Between Sessions. Newsletter consent can be withdrawn at any time using the unsubscribe link in an email.
Newsletter signups
The newsletter form sends your email address, optional first name, consent choice and signup source to Klaviyo. The Between Sessions list uses a confirmation step: you are not added as a subscribed recipient until you confirm through Klaviyo's email. Klaviyo then manages delivery, preferences and unsubscribe requests.
Service providers and sharing
I use service providers only where they support the website or coaching service. These currently include the website host, Klaviyo for email marketing, Google Workspace and Google Calendar for email, scheduling and meetings, and TriDot for coaching delivery, training data and billing. Precision Coaching may support an appropriate professional referral, but personal information is not shared for that purpose without a suitable basis and appropriate transparency.
I do not sell personal information. I may disclose information where required by law, to protect someone's vital interests, or to establish or defend legal rights.
International processing
Some service providers may process information outside the UK. Where this happens, I rely on the provider's applicable contractual and organisational safeguards or another lawful transfer mechanism. You can ask for more information about the safeguards relevant to your data.
How long information is kept
- Newsletter information is kept until you unsubscribe or the list is cleaned because it is no longer useful or deliverable.
- Unsuccessful enquiry and discovery-call information is normally kept for up to 12 months after the last meaningful contact.
- Coaching and financial records are kept for the duration of the relationship and afterwards for the period needed for legal, safeguarding, insurance, tax or dispute purposes.
- Suppression records may be retained so an unsubscribe request continues to be respected.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase personal information; restrict or object to its use; receive portable data; and withdraw consent. You may also object to direct marketing at any time. Email hello@coach-ben.co.uk to make a request.
If you are unhappy with how your information is handled, please contact me first so I can try to resolve it. You also have the right to complain to the Information Commissioner's Office.
Changes to this notice
I may update this notice when the website, coaching service or service providers change. The latest version and review date will remain available on this page.
